Pay Range: $73,000-$83,000 Annually
Reports to: Associate Director, Education & Research
Position Overview
The Research Programs Manager will execute projects and programs that support achievement of the organization’s strategic objectives around advancing research in the field of veterinary internal medicine. This position will collaboratively work with internal and external stakeholders on research initiatives to coordinate and promote activities related to member and resident grants, travel exchange programs, research-related educational programming, consensus statements / endorsed statements. This position also serves as backup support to Journal of Veterinary Internal Medicine (JVIM) operations.
Essential Functions
Manage grant and travel award programs (Holliday Neurology Resident Research Grant, Knecht Resident Travel Awards, etc.) to include:
- Establish project timelines and coordinating calls for applications.
- Serve as key staff liaison to selection committees, scheduling committee meetings, providing reports and ensuring the selection process moves forward.
- Configure grants and awards evaluation software platform for committee selection.
- Serve as primary contact for applicants, including sending approved/rejected notifications, necessary paperwork and contracts, and ensuring receipt of necessary reports and deliverables.
- Work with the accounting department on the distribution of award funds.
- Ensure all historical files are well-organized and kept according to the organization’s document retention policy.
Collaborate on operations of the ACVIM’s Journal, Journal of Veterinary Internal Medicine (JVIM), to include:
- Serve as primary backup for Publications Specialist, ensuring proper documentation of SOPs and a plan to create redundancies and maintain institutional knowledge.
- Serve as key thought partner to elevate the presence of the Journal and meet organization-wide research and discovery objectives.
- Participate in JVIM Editorial Board and internal JVIM related meetings.
Serve as primary staff liaison in leading and executing Education and Research Committee (ERC) projects to include:
- Manage all aspects of the ACVIM Endorsed Statements (AES) program in alignment with defined procedures.
- Manage the ACVIM Forum Research Exchange program in collaboration with Forum program planning to include topic solicitation, coordinating speaker call, supporting speaker contracting and managing deliverables, collaborating on onsite logistics, staffing exchange sessions and managing session outcomes.
- Support ERC Committee in ACVIM Forum program ERC track planning / session development, moderator assignments, and program review for ERC approved sessions.
- Collaborate with ACVIM Forum team on ERC Committee review of Research Abstract guidelines, scoring matrix and committee engagement / participation in abstract reviews.
- Seek opportunities to utilize ACVIM research content to drive engagement and support the development of research related competencies among ACVIM Diplomates, members and candidates.
Serve as primary staff liaison in leading and executing Cardiology Research Committee (CRC) programs to include:
- Act as key staff liaison to committee, including support in scheduling committee meetings, providing reports, documentation review and Board of Regents reporting.
- Support CRC and Cardiology Secretary in administration of ACVIM Cardiology Pacemaker Fund Research Grants and Cardiology Professional Training Exchange Program (PTEP).
- Set up and update online submission forms and systems to support application submissions and support committee reviews.
- Act as primary support for Cardiology Secretary and back up for applicants, supporting necessary paperwork and contracts, and ensuring receipt of necessary reports and deliverables.
- Work with the accounting department on the distribution of funds and marketing on website updates and communications.
- Ensure all historical files are well-organized and kept according to the organization’s document retention policy.
Collaborate with membership, marketing and communications staff to:
- Ensure research related webpages are updated and accurate.
- Deployment of research-related member resources and engagement tactics.
- Maximize the reach of JVIM in the broader scientific community, solicit and retain authors, and maximize member engagement with JVIM content.
Other responsibilities include:
- Actively seek out new opportunities to elevate the ACVIM’s research profile and ability to be a key research resource within the profession.
- Work with volunteer leaders to field and respond to requests from individuals who wish to survey or poll the ACVIM membership for research purposes.
- Serve as primary staff liaison to the Morris Animal Foundation.
- Attend the ACVIM Forum annually to assist with conference operations, as needed.
- Prepare reports or presentations for committees and the Board of Regents as requested.
- Develop and monitor research budget, approving expenses and communicating variances and planning contingencies accordingly.
- Field and respond to all internal and external emails directed to the Research email account.
Minimum Qualifications
Education and Experience:
- Bachelor’s Degree or higher required.
- CAE Certification is preferred.
- Minimum of 5 years’ experience working in higher education, research foundation, academic publishing, nonprofit membership organization or similar environment preferred.
- Proven experience in building successful research programs and/or research-related educational projects preferred.
Skills/Knowledge:
- Exceptional written and verbal communication skills.
- Exceptional project management skills.
- Advanced skills in use of all Microsoft Office modules and Adobe Acrobat Pro.
- Competency working in member databases and online application software platforms.
- Strong analytical and problem-solving skills, with the ability to interpret trends and provide actionable insights. Creative and innovative thinking to identify new research products, programs or resources.

Other Job Details
Supervision Duties:
This position has no current staff supervisory responsibilities.
Position Type/Expected Hours of Work:
This is a full-time salaried exempt position. Hours worked are Monday through Friday, with occasional weekends as needed, and domestic travel 2-3 times per year.
Physical Demands:
- Ability to sit or remain stationary at a computer workstation for extended periods of time.
- Frequent use of hands and fingers to operate a computer keyboard, mouse, and other standard office equipment.
- Occasional lifting and moving boxes or equipment weighing up to 30 pounds.
